The Village of Tuxedo Park, NY is a National Historic Trust District, is an incorporated village of 330 households, located in Southern Orange County approximately forty miles northwest of New York City. The Village is looking for a qualified enthusiastic individual to succeed the retiring Clerk/Treasurer who has served the Village for twenty-six years. The Clerk/Treasurer is a board appointed full- time position beginning in August 2020.

The Village has its own police department, department of public works, sewer facility, and water department all of which are included in the Clerk/Treasurer’s financial reporting oversight.

Position Duties and Responsibilities

The duties of the Clerk/Treasurer are set forth officially in Section 4-402 of the New York State Village Law and described fully at NYCOM.com. The principal duties and responsibilities as pertain to the position in Tuxedo Park are:

Manage the accounting and treasury functions including the collection of all Village tax, assessment, and fee revenue; invest funds in bank CD’s; process all accounting transactions, payables, receivables, general ledger, payroll, and assessments; supervise capital budgeting and year-end accounting procedures.

Working with our CPA firm prepare the year-end financial statements and required New York State reports.

As clerk of the Board of Trustees attend monthly and any special meetings, prepare meeting agendas, post required notices of meetings and notify newspaper, tape-record minutes, take notes, and prepare final minutes for Trustee review and approval.

Prepare, co-ordinate and oversee Village Elections, including but not limited to candidate filings, selection of poll workers and machine technician, oversee the printing of ballots, mail absentee ballot applications, and process returned ballots. Collect voting results and notify candidates.

Work with the Mayor and trustees on issues that arise including the preparation and approval of the annual budget.

Respond to questions and concerns of Village residents. Provide notary services

As Village Records Management Officer maintains custody of official books, records, and reports; establish sound records management practices, and respond to FOIL requests.

Supervise accounting support staff.

Monday through Friday. Office business hours are expanding from 9 am – 4 pm to 9 am – 5 pm.

Knowledge and Technical Skills Required

Intermediate to advanced bookkeeping skills, knowledge of municipal accounting preferred.

Intermediate to advanced computer skills; experience in QuickBooks or other accounting packages, ability to use software for word processing, spreadsheets, databases, and email.

Intermediate to advanced office skills – working knowledge of and ability to use various office machines. and recording equipment.

Excellent communication and customer relations skills.

Flexibility and ability to multi-task.

Minimum Qualifications

At least two years of college
Five years’ experience in an office accounting environment
One-year supervisory experience
Experience as a village clerk or deputy clerk welcomed
